Groundbase isn't for everyone — here's who it's for and who it isn't

Most products pretend to be for everyone. That's the wrong frame. Here's the honest answer about who Groundbase fits and who it doesn't.

Most products try to convince you they're for everyone. That's the wrong frame. The honest version is: every product fits some people well and other people badly, and trying to hide that just wastes your time evaluating something that was never going to work for you.

Groundbase is no different. Here's who it actually fits and who it doesn't.

Who Groundbase is built for

The short version: technical solo operators.

The longer version: people who...

  • Run their business mostly alone. Solo founders, indie hackers, freelance devs running a one-person consulting practice, agencies-of-one. Maybe a contractor here and there, but no permanent team.
  • Read a "BYO Twilio" feature and think "yes, control" instead of "ugh, more setup." You're comfortable signing up for a Twilio account, finding your account SID, copying tokens. None of that intimidates you.
  • Have a stack and like assembling things into it. You probably use Stripe directly. You've connected APIs before. You know what an API key is and where to find it.
  • Want one CRM tool, not five hubs. You don't need Sales Hub + Marketing Hub + Service Hub + CMS Hub. You need contacts, deals, outreach, calendar. Done.
  • Care about the cost per message, not just the subscription. When you read "no platform markup on SMS," you understand why that matters because you've looked at a Twilio invoice before.
  • Prefer "small and sharp" to "big and bundled." You'd rather have a CRM that nails the CRM thing than a "platform" with mediocre everything.
  • Like the idea of connecting your AI to your CRM. You've heard of MCP. You use Claude or ChatGPT or Cursor as your daily workflow. You'd love to ask your AI to draft personalized follow-ups by querying your real contact data.

If most of that describes you, Groundbase is probably the right CRM for the version of business you're running right now.

Who Groundbase is NOT for

I'll be direct about this because pretending otherwise wastes everyone's time.

  • Enterprise sales orgs. If you have 10+ SDRs, AEs, and a RevOps person, Groundbase will frustrate you. There's no lead routing between team members, no manager-approval workflows, no SOC 2 audit trails (yet), no SSO. You want HubSpot or Salesforce. (I've written about why Groundbase doesn't try to compete on the HubSpot dimensions if you want the longer argument.)

  • Non-technical solopreneurs. If "Twilio account SID" makes you nauseous and the idea of finding an API key feels like a side project you don't want, Groundbase will be frustrating. The BYO model is the whole point — but it requires you to BYO. Plug-and-play CRMs like Zoho Bigin or HubSpot's free tier are kinder starting points if you don't want to touch tech.

  • Real estate agents. I want to be honest: realtors are welcome to use Groundbase and the deals pipeline has a real estate category, but I haven't built things you'd probably want — MLS integration, IDX, lockbox tracking, transaction management. Tools like Follow Up Boss or kvCORE are purpose-built for your workflow.

  • People who need rich enrichment out of the box. HubSpot pulls in company logos, job titles, and LinkedIn data automatically when you add a contact. Groundbase shows you what you (or your AI) put in. If automatic enrichment is critical, HubSpot wins on that specific dimension.

  • Teams that need approval workflows on outreach. If someone needs to review every cold email before it sends, Groundbase doesn't have that. It's built for "the person sending the email is also the person approving it" — which is true for solos and false for teams.

  • Anyone who wants a marketing automation suite. Groundbase has email campaigns and drip sequences, but it's not Marketo or HubSpot Marketing Hub. No A/B testing on landing pages, no ad management, no behavioral retargeting flows. If those features are what you need, this isn't the tool. Why I'm telling you this

A few reasons.

One: I don't want to waste your time. If you sign up, try Groundbase for 3 days, and realize it doesn't fit your situation, both of us lose. You wasted hours setting it up. I refunded you and the trial converted noise into nothing.

Two: better fit means better outcome. When the tool matches your actual workflow, you actually use it. You actually keep paying for it. Your business actually benefits. That's better for you and better for me.

Three: pretending Groundbase is for everyone makes it worse for the people it IS for. If the marketing site is filled with vague "for every business" language, the actual ICP can't tell whether it's for them either. Being specific about who fits is how you find your people.

If Groundbase fits

Try it for 14 days. No card needed beyond the trial-start (cancel anytime within 14 days, nothing charged). If you're still using it on day 14, it's $9/month flat — no per-seat, no upsells.

If Groundbase doesn't fit

That's totally fine. Some honest recommendations based on what you actually need:

  • Enterprise sales: HubSpot or Salesforce. Pay the premium; you'll use the features.
  • Non-technical solopreneur: Zoho Bigin (similar price, more polished onboarding) or HubSpot's free tier.
  • Real estate: Follow Up Boss or kvCORE.
  • Marketing automation focus: ConvertKit or Customer.io for email-first; HubSpot Marketing Hub if you have the budget.
  • Visual workflow / database hybrid: Notion CRM or Airtable. More flexible, less CRM-specific.

I'd rather you use the right tool for your situation than the tool I happen to sell.

Knowing what you ARE means knowing what you AREN'T. Groundbase is a CRM for technical solo operators who'd rather assemble small sharp things than buy bundled mediocre platforms. That's it.
