Delete your data

You can delete some or all of the data inside your Groundbase CRM account without closing the account itself. The options below let you wipe individual records, sections of data, or everything at once — your account, subscription, phone number, and connected services stay intact.

Option 1 — Delete individual records
Every contact, company, deal, task, note, SMS message, voicemail, and email thread inside the app has a delete button on its detail screen or list row. Tap delete, confirm, and the record is removed from your account immediately.
This is the best path if you want to remove specific items — say, a stale contact, an old conversation, or a deal that's no longer relevant — while keeping everything else.
Option 2 — Reset to empty database (delete all CRM data at once)
To wipe every CRM record in one action while keeping your account, sign in at app.groundbasecrm.com → Settings → Backup & Export → Reset to empty database. You'll need to type DELETE to confirm. The action runs immediately.
What this deletes:
- All contacts, companies, deals
- All tasks, events, appointments, notes
- All addresses and tag assignments
- All custom field values
- All SMS message history and threads
- All voice call records, voicemail recordings, voicemail transcripts, call transcripts
- All synced email messages
What this keeps:
- Your account (you stay signed in)
- Your subscription and credit balance
- Your phone number(s)
- Your connected email account configuration
- Your tags, deal stages, custom field definitions, saved views, templates
- Cannot be undone — make sure you've exported anything you want to keep before confirming
Option 3 — Disconnect your email account
To remove just the email side, sign in → Settings → Email integration → Disconnect. This removes all synced email messages from your Groundbase account and deletes the stored credentials we use for IMAP/SMTP. Your mailbox at Gmail / Outlook / your IMAP provider is unaffected.
Option 4 — Export, then delete
If you want a copy before deleting anything, go to Settings → Backup & Export → Export to JSON. You'll get a full snapshot of every contact, deal, task, note, message, and call record on your account. The export runs locally in your browser. Useful if you want to delete the live data but keep a personal archive.
What we keep after partial deletion
For data you delete using the options above:
- The records are removed from the live application immediately and will no longer appear on any device.
- Our database backups roll over on a 90-day cycle. Deleted records may persist in backup files for up to 90 days before being overwritten, after which they're gone permanently.
- Anonymized usage logs (counts and timestamps for billing purposes, no message content) may still be retained against an internal account-id for 7 years per Canadian and U.S. tax-record requirements — separate from your CRM data.
