Preferences
Settings → Preferences has three parts.
Identity (synced to your account): your name, which the dashboard greeting uses; a display name for the sidebar; your reply-to email; and your Role, which suggests starter templates and deal stages. Changing the role offers to rename your deal stages to match; your deals are kept either way.
Calls & voicemail (synced to your account): call forwarding, voicemail transcription, call recording and transcription. Explained in Calling & voicemail. Changes here wait for Save.
This device (saved on this browser or install only):
- Time zone — also saved to your account for calendar sync.
- Opens on — which page the app lands on after sign-in.
- Task notifications — a browser notification ahead of a task's due time, with Advance notice in minutes.
- Confirm before deleting — a confirm step on destructive actions.
- Help improve Groundbase — the anonymous product analytics described in our privacy policy. Off means off for this device.
If you loaded example data during onboarding, an Example data row sits at the bottom with a Remove button until it's gone. Anything you edited is kept.
Appearance
Settings → Appearance applies to this device only and takes effect immediately:
- Theme — Light, Dark, or System, which follows your operating system and switches with it.
- Accent colour — twelve to choose from; Brick is the default. Tags, deal stages and saved views use the same palette.
- Corner radius — Sharp, Regular or Rounded.
- Density — Comfortable or Compact. Compact tightens list rows and navigation.
Fields & pipeline
Settings → Fields & pipeline shapes your own data. Each tab saves itself.
Custom fields — the things your business tracks that a generic CRM doesn't. Add a field to Contacts, Companies or Deals as Text, Number, Date or Select (a dropdown with options you type, one per line). Fields appear in a Custom fields card on the record, as columns and filters on the lists, in import and export, and as {{cf.<field_key>}} merge tags. The order here is the order on the record. Deleting a field clears its values everywhere.
Deal stages — the columns of the Deals board, left to right. Add a stage with a colour and say whether it Closes the deal as Won, Lost, or neither. Reorder with the arrows. Take off the board archives a stage without touching the deals in it; deleting a stage that still has deals asks where to move them.
Saved views — a filter and sort you keep. They're made on the list itself: set the filters you want, then click the dashed Save view chip and give it a name. Views become the chips above that list, each with a live count. This tab renames, recolours, reorders and deletes them.
Tags — your own labels for contacts, companies and deals. Pinned tags are the filter chips on the Contacts list, in the order shown; the rest sit in the chip row's Tag dropdown. Rename, recolour, pin or delete. Deleting a tag removes it from every record it was on. Point a campaign at a tag to send to everyone carrying it.

Search and keyboard shortcuts
Ctrl K (⌘K on a Mac) opens the search box from anywhere, or click Search in the sidebar. Type to find contacts, companies, deals and tasks, jump to any page, or run an action: New contact, New deal, New task, Import CSV. Arrow keys move, Enter picks, Esc closes.
Outside the search box, when you're not typing in a field:
