Track the time you spend on customers, deals, or anything else. Start a timer while you work, or log time you have already spent. Billable time you have not invoiced yet can go straight onto an invoice as lines.
Starting and stopping a timer
Start timer sits in the sidebar under Search (in the web app on a phone, the clock in the top bar). In the Android app it is on the Time screen under More, and on each contact, company and deal. Say what you are working on, link it to a contact, company or deal if you like, and it starts ticking. The sidebar shows it running; Stop saves it.
Only one timer runs at a time. Starting a new one stops and saves the one that was running. The timer lives on your account, not on the device: start it on your desktop and stop it from your phone.
You can also start a timer from the Time tab of a contact or company, or the Time card on a deal — it is then linked to that record.
A timer left running is capped at 24 hours when it stops, so a forgotten one never turns into a three-day entry. Edit it to the real time afterwards.
Logging time after the fact
Log time (on the Time page, or on any record's Time tab) takes a duration in whatever form is natural: 1:30, 90m, 1.5h, or just 2 for two hours. Add the date and a start time if it was not today. One entry can be up to 24 hours.
Click any entry to edit it or delete it.
Linking time to a customer
The Linked to field takes a contact, a company, a deal, or any mix. Link a deal and its contact and company come along automatically, so the time shows on all three pages. Time linked to nothing is fine too — admin, prospecting, learning.
Every logged entry also appears on the record's timeline as Logged 1h 30m — what you did.
Rates and billable time
Each entry can carry an hourly rate. Leave it blank and Groundbase uses the last rate you used for that deal, contact or company, then the last rate you used at all. The rate is saved on the entry, so changing your rate later never rewrites hours you have already logged.
Turn Billable off for time you would never invoice. Billable time that is not on an invoice yet counts as Unbilled.
The Time page
Time in the sidebar (g k) shows a week or a month at a time: total, billable and unbilled hours, with the unbilled amount in each currency. Entries are grouped by day, and By customer shows where the hours went. Filter to Unbilled to see what is waiting to be invoiced.
Putting time on an invoice
In the invoice builder, once the customer is chosen, Add unbilled time lists that customer's unbilled entries — including time on their deals. Tick the ones you want and each becomes a line: what you did as the name, the date and hours underneath, hours as the quantity and your rate as the price. Time recorded at a rate in another currency is listed but cannot be added; bill it on an invoice in that currency.
The entries are marked as billed when you save the invoice, and show On INV-… from then on. Their hours and rate are locked while they are on an invoice. To take time back off a draft, use Unbill on the entry. Voiding the invoice, or deleting the draft, releases its time to unbilled again.
Invoicing is optional. Time you never invoice still counts in every total.
From an AI assistant
Through AI integrations an assistant can start and stop your timer, log time ("two hours on the Riverbend job yesterday"), list entries and totals, and edit or delete an entry. Adding time to an invoice is done in the app.
